We are looking for a responsible Executive Assistant to perform a variety of administrative and clerical tasks. Duties of the Executive Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company's general administrative activities.


Answer and direct phone calls; Organize and schedule appointments; Plan meetings and take detailed minutes; Write and distribute email, correspondence memos, letters and forms; Assist in the preparation of regularly scheduled reports, daily, weekly, monthly, annually; Maintain a filing system; Update and maintain office policies and procedures; Order office supplies and research new deals and suppliers; Calendar Management; Submit and reconcile expense reports; Provide general support to visitors; Act as the point of contact for internal and external clients; Liaise with senior and executive assistants to handle requests and queries from managers; Internet/Websites-researching; Make payments & filing online; Billing Sales Orders; AR’S-Collections; AP’S-Payables; Inventory; Logistics Management; HR related matters.


Proven experience as an executive administrative assistant or admin. Assistant, minimum 5 years’ experience.
This is a salary position, which will require working more than 40 hours a week.
Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and scanners
Proficiency in MS Office (MS Outlook, Word, Excel, and PowerPoint, in particular); G-Suite & QuickBooks
Typing skills: minimum of 45 WPM
Extremely close attention to detail and problem-solving skills
Excellent written and verbal communication skills in English & Spanish, fully bilingual is a requirement
Willing to surpass expectations
Able to work in a fast-paced environment without losing concentration and to handle pressure with a positive attitude,
Excellent organizational skills with high ability to multi-task,
Ability to deal effectively with a diversity of individuals at all organizational levels,
Good judgement with the ability to make timely and sound decisions
Legal/Accounting experience a plus
Logistics Management a plus
Education Required: College degree, Bachelors, Master
